Job Title: HubSpot CRM & Automation Manager- (15-25% EST overlap, on demand support and consultancy)
Profile Summary:
We are looking for a HubSpot CRM & Automation Manager to take ownership of our HubSpot instance, ensuring it is optimized for marketing, sales, and customer success teams. This role will focus on workflow automation, advanced integrations, data integrity, and reporting, driving efficiency across multiple business units. The ideal candidate is a HubSpot expert with deep experience in CRM administration, automation, and training teams on best practices.
Key Responsibilities:
CRM & Workflow Management
- Overhaul and optimize HubSpot CRM to support lead flow, sales, marketing, and client success.
- Build workflow automation for lead nurturing, scoring, post-event follow-ups, MQL-to-SQL conversion, and customer retention.
- Set up internal notifications and handoff workflows between marketing, sales, and customer success.
- Ensure data integrity and hygiene, improving segmentation, duplicate management, and enrichment.
Advanced Integrations & Lead Enrichment
- Integrate HubSpot with Apollo, RB2B, Clay, and an auto-dialer to streamline lead engagement.
- Oversee lead enrichment processes, ensuring high-quality contact data for sales.
- Ensure financial system integrations (e.g., QuickBooks, Excel) for revenue attribution reporting (long-term goal).
Reporting & Analytics
- Develop and maintain custom reports & dashboards for:
- Lead source attribution & campaign performance
- Sales pipeline tracking & conversion rates (MQL → SQL → Closed Won)
- Account penetration, retention, and win/loss analysis
- Customer success metrics (NPS, CSAT, churn prevention)
- Marketing effectiveness (traffic, SEO, paid ads, social media, email)
- Ensure leadership has real-time visibility into sales, marketing, and customer success KPIs.
Training & Enablement
- Train sales, marketing, and customer success teams on HubSpot best practices and workflows.
- Provide ongoing support and troubleshooting for HubSpot users.
- Develop documentation and guides for internal teams to maximize HubSpot adoption.
Continuous Optimization & Strategy
- Regularly audit HubSpot performance, workflows, and integrations, making recommendations for improvements.
- Stay updated on HubSpot innovations and AI-driven enhancements that could benefit our business.
- Work cross-functionally with marketing, sales, and operations to align HubSpot strategy with business goals.
Requirements:
- 5+ years of HubSpot CRM administration & automation experience (HubSpot certification preferred).
- Deep experience in workflow automation, reporting, integrations, and data management.
- Strong understanding of lead management, scoring, and pipeline optimization.
- Integration expertise with Apollo, RB2B, Clay, auto-dialers, and other third-party tools.
- Ability to train internal teams and improve HubSpot adoption across departments.
- Experience working with multi-business-unit environments and segmenting data accordingly.
- Analytical mindset with expertise in HubSpot reporting and attribution models.
- Strong project management skills with an ability to execute and iterate quickly.
